Recording, AI and providers

Some Askobo meetings are recorded, transcribed or summarised by AI. This page says who can turn these on, who can see the results, how long we keep them, and which companies help us do it.

Overview

In short: Recording, transcription and AI summaries are separate features, and each one has its own rules below.

Askobo runs video meetings for sessions, group calls, programs and webinars. A host can add three things to a meeting: a recording, a live transcript, and an AI summary written afterwards. Each one handles personal data, including your voice, your image and what you say.

This page covers those features and our service providers. For everything else we do with personal data, read the Privacy policy.

Askobo is responsible for these features: hosting recordings, creating transcripts and creating AI summaries. Calls can be recorded and transcribed when the meeting needs it, as set out in our Terms of use; the host tells you when this starts.

Recordings

In short: Only the host can start a recording, when the meeting needs it, and everyone can see when it is on.

  • Who can start one. Only the meeting host. An Askobo admin can also start a recording when it is needed for support or safety, for example to look into a complaint or a report of abuse.
  • How you know. A red REC indicator with a running timer shows to every participant for as long as the recording runs.
  • Plan needed. Recording works only if the host's plan includes it. The host's plan decides how long recordings are kept (see section 5).
  • When calls are recorded. A host records when the meeting needs it, for example so learners can watch it again, to keep a record of advice, for quality, or to look into a complaint. By booking or joining, you agree to this (see our Terms of use). The host tells the people in the meeting when a recording starts. If you do not want to be recorded, ask the host to stop, turn off your camera or microphone, or leave.
  • Your right to say no. If you do not agree, ask the host to stop recording, or leave the meeting. Leaving does not affect your booking rights under our Cancellation and refund policy.

Live transcription

In short: Only an expert host can turn it on, your audio goes to a speech-to-text provider while it is on, and a transcript panel is visible.

  • Who can start it. Only an expert who hosts the meeting.
  • Where your audio goes. While transcription is on, meeting audio is sent to AssemblyAI or Sarvam AI, which turn speech into text. Sarvam AI is used for Indian languages. Both are listed in section 10.
  • How you know. A transcript panel is visible in the meeting while transcription is on.
  • When it is used. The same rule as recordings applies: the host turns it on when the meeting needs it and tells the people in the meeting. You can ask the host to stop, or you can leave.

AI summaries and AI writing help

In short: The host can ask for an AI summary after a meeting; it is labelled, it can be wrong, and you should check it before relying on it.

AI summaries of meetings

  • After a meeting, the expert (the host) can ask for an AI summary. Google Gemini creates it from the meeting transcript.
  • Every summary carries a label: AI-generated. It can be wrong or miss things. It is not legal, tax, financial, medical or any other professional advice.
  • Check a summary against what was said, or ask the expert, before you act on it.

AI writing help

Experts can use Gemini to draft service descriptions, bios, forms and agendas, and to read a resume they upload so we can draft their profile. The text they send for this goes to Google. The study planner also uses AI to write coaching notes for learners.

Askobo is responsible for how our own AI features are built and run. The expert is responsible for what they publish after reviewing the draft.

Who can see recordings, transcripts and summaries

In short: The people in the booking, the host, and Askobo admins for support or safety. Nobody else.

ItemWho can see itHow long we keep it
RecordingThe seeker and the expert on the booking; paid participants of a group meeting; the host; Askobo admins for support or safety.Deleted automatically at the end of the retention period of the host’s plan. The period is shown in the meeting and recording area.
TranscriptThe same people as the recording.Until the host deletes it, your account is deleted, or you ask us to delete it.
AI summaryThe same people as the recording.Until the host deletes it, your account is deleted, or you ask us to delete it.
Audio sent to AssemblyAI or Sarvam AIThe provider, only to produce the transcript.Sarvam AI keeps it for up to 30 days. AssemblyAI keeps no audio from live transcription once data sharing is switched off on our account.

Deleting your account does not remove recordings, transcripts or summaries automatically. Email [email protected] and we will remove them unless the law or an open dispute requires us to keep them.

Downloads and sharing

In short: Downloads use secure links that expire. Do not share anyone else’s recording without their consent.

  • Secure links. When you open or download a recording, we give you a time-limited secure link. After it expires, you need to ask for a new one from the booking page.
  • Sharing. A recording shows other people's faces and voices. Do not post, forward or upload a recording of a meeting to anyone outside the meeting unless every person in it has agreed.
  • Consequences. Sharing a recording without consent breaks our Community guidelines. We can remove the content and restrict or close the account, following the steps in those guidelines.

AI training

In short: Neither we nor our AI providers train AI models on your recordings, transcripts or summaries.

Askobo does not use recordings, transcripts or summaries to train its own AI models.

Our AI providers process your content only to give us a result. We use their paid business plans with model training switched off, so none of them use your recordings, transcripts, summaries or other content to train their models.

Zoom meetings

In short: If an expert holds the meeting on their own Zoom account, Zoom’s recording settings and terms apply to that meeting.

Experts can connect their own Zoom account. For those meetings, Zoom runs the call and Zoom's own recording settings and terms apply. Askobo sets automatic recording to off by default. Zoom receives the meeting details listed in section 10.

The rules in sections 2 and 3 about when to record and telling people still apply to the expert, whichever tool they use.

Your choices

In short: Ask the host, leave, or ask us to delete what exists.

  • Before or during a meeting. Ask the host not to record or transcribe, or to stop. If they do not, you can leave.
  • After a meeting. Email [email protected] to ask for a recording, transcript or summary that includes you to be deleted. We acknowledge within 24 hours and answer within 30 days. We delete it unless the law or an open dispute requires us to keep it, and we tell you if that is the case.
  • AI processing. The AI processing switch in Settings, then Privacy, controls only Askobo's own analytics events. It does not stop transcription or AI summaries; only the host turns those on, so ask the host.
  • Complaints. Use the steps on our Grievance redressal page.

Service providers

In short: These companies process data for us. Each one is named with what it does, what it receives and where it is.

We use the providers below to run Askobo. They process personal data only to provide the service they are listed for. We do not sell personal data.

We update this list when a provider is added, removed or changed. The list last changed on 22 October 2026. When we add a new type of provider, for example a new kind of AI service, we tell users at least 15 days before it starts, by email or in the app.

For how the Privacy policy and these providers fit together, and for your rights over your data, read that policy.
